For owners of staffing firms that bill by the hour

Stop losing orders, workers and hours.

Most firms your size lose money in three places, and none of it shows up as a loss:

  1. 01 Orders you can’t fill fast enough Seats a client already offered you get filled late, or by another agency.
  2. 02 Workers who drift off when an assignment ends People you already paid to recruit end up working for someone else.
  3. 03 Hours that never make it onto an invoice Work you already paid for gets billed short or not at all.

You keep your people and your software. We cut the legwork, so your people make fewer calls to fill an order, spend less time chasing timesheets and fix fewer paychecks after payroll.

The call costs nothing.

A normal week

Where the money goes in a normal week.

At a firm your size, the same few people take and fill orders, chase timesheets and run payroll, often by phone, text and spreadsheet.

Your recruiters may also handle safety, I-9s and unemployment claims. So a hard-to-fill order they could start on Monday waits until Thursday.

It isn’t anyone doing a bad job. It comes with how staffing runs: payroll goes out every Friday, clients pay in 30 to 90 days, and workers move from one assignment to the next.

01

Orders you can’t fill fast enough

A client emails at 3pm asking for 12 pickers on Monday’s second shift. The email doesn’t say when the shift starts. A recruiter calls around from memory, and half the right people aren’t cleared for that client.

By Monday, 9 seats are filled. Then the client calls: one person didn’t show.

Empty seats don’t show up as a loss. They show up as a quieter week. And a client who goes short a few times starts calling another agency first.

What changes

Your recruiters skip the calling around. The people already cleared for that client hear about the order at once, so you can tell the client it’s covered before another agency does. When someone doesn’t show, you hear before the client does, and a backup has already said yes.

02

Workers who drift off when an assignment ends

An office assistant’s three-month assignment ends on Friday. They never missed a day.

Your recruiters are busy with this week’s orders, so nobody calls. Another agency does.

Two weeks later, a client needs an assistant. You pay to find and screen someone new.

A proven worker is the cheapest fill there is.

What changes

The assistant hears from you before Friday, not from another agency, and gets the first call when your next order comes in.

03

Hours that never make it onto an invoice

On Monday, a crew’s hours come in three ways: a photo of the foreman’s sign-in sheet, a text and a client portal. Someone types them into payroll. The invoice gets built from separate numbers.

Saturday’s overtime is paid at time and a half but billed at straight time. A late sheet makes payroll but not the invoice.

Nobody notices. The crew got paid, and the client won’t call to say they were under-billed.

You paid in full and billed short. An hour you never bill costs you the whole bill rate.

What changes

Your billing person bills from the same hours payroll used. Before invoices go out, they see what doesn’t match, like Saturday’s overtime at straight time, and fix it.

What we do

Less legwork in what your people already do.

Your people keep doing the work. We make that work faster, with fewer mistakes.

Think of a warehouse that’s already running. We don’t knock it down. We move things around so the pickers stop walking back and forth. In your office, the walking is calling around, chasing timesheets and fixing checks after payroll.

Your people walk us through how they do it now. We take out the steps that don’t need to be there, mostly inside the software you already use. We make the changes ourselves. If something’s missing, we tell you what and take care of it.

What we don’t do

  • We don’t sell software or make you switch systems.
  • We don’t do your staffing work.
  • We don’t touch your bill rates or pay rates.
  • We don’t find you workers or clients.

Most firms your size have bought software their people never really used. The recruiters went back to their spreadsheets. We start from what your people already do, spreadsheets and all.

You keep your people and your software. We cut the legwork.

How it works

What happens after you book, and what it costs.

  1. We start with a call about how your firm runs and whether a closer look is worth it.

  2. If it is, we talk to the people who do the work, around their schedule. That’s usually 7 to 15 conversations, and some of them show us on their screen how they do it. Within 5 to 10 working days, you get:

    • where the money’s going
    • roughly what each problem costs
    • what to fix first, and how

It costs nothing, and if there’s nothing worth fixing, we’ll say so.

  3. If you want the fixes made, it’s one fixed price for the whole job, not an hourly rate. The price depends on what we find, so it’s set once we both know the scope. The changes happen mostly inside the software you already use.

Questions

Questions owners ask first.

Is this some kind of app? Do we have to change software?

No. For most firms there’s nothing new to learn or log into. We change how the work goes through what you already have. If something’s missing, say you’re on spreadsheets, we’ll tell you what and take care of it.

Is it AI?

It isn’t something you buy. Sometimes a step ends up running on its own, like a reminder text, but the point is less legwork for your people.

Would you have to take control of my database?

No. To see what to change, your people show us how they do the work. We look at how it runs, not at your clients. You keep your software, the changes happen inside it, and nobody types anything twice.

How much of my people’s time will it take?

It depends on your team: usually 7 to 15 conversations in all, around their schedule. A lot of it is just them showing us what they already do.

Will my people think I’m replacing them?

Nobody’s job is on the table. Tell them we’re looking at how the work runs, so they can take more orders. You pick who we talk to.

How much do you charge?

The call costs nothing, and neither does finding where the money’s going. If you want the fixes made, it’s one fixed price for the whole job, set once the scope is clear. There are no hourly rates, surprises or hidden fees.

What’s the catch?

The catch is we hope you’ll want us to fix what we find. If not, you keep what we found and use it yourself.

We already have software for that.

Then we work inside it. A texting tool sends an order to whoever’s on the list. If half that list isn’t cleared for the client, your recruiters end up back on the phone. Those are the steps we take out.

Are you consultants?

No. A consultant stops at the plan. We make the changes ourselves, for a fixed price, and your people keep running it.

I pay people to do all that in-house.

That’s who it’s for. Your people keep doing the work, with less legwork, so the next order doesn’t need the next hire.

We just need more clients.

We don’t find clients. But when a client sends one order to several agencies, the first to confirm gets it. Get there first a few times, and that client starts calling you first.

Who you’ll talk to

You’ll talk to our founder.

Every call booked here is with our founder, who also talks to your people if you go ahead. Nobody hands you off to someone you haven’t met.

If you have a question before you book, email us at rahim@lighterwork.com.

First, a call to see if a closer look is worth it.

We go through how work moves through your firm, from the client’s order to the invoice, starting with the place that worries you most. You’ll see how we’d fix it.

Working out what it costs your firm takes a closer look, and we’ll only suggest one if it’s worth your time. Either way, the call costs you nothing.
